Division: Administration Department: Fire and Rescue Section: Administration Supervisor: Deputy Chief/Fire Marshal FLSA: Classified, Non-Exempt Wage Level: Grade 61 Hiring Range: $23.18 - $25.58 DOE Full Salary Range: $23.18 - $29.65 DOE BRIEF DESCRIPTION: This position provides comprehensive administrative support to the Fire and Rescue Department. The primary focus is assisting the Deputy Chief/Fire Marshal and supporting the various Divisions under their command (Operations, Training, Finance/Administration, and Community Care & Compliance). The successful applicant will perform a wide range of administrative and related clerical duties, including organizational and functional support for career and volunteer personnel across operations, scheduling, training, and departmental reporting. Duties include creating and preparing correspondence, arranging appointments, answering phones, and overseeing various money accounts. This role will also be heavily involved in specialized administrative functions such as onboarding, training record management, Fire & Rescue IPRA records, grant documentation, state/national reporting, travel and training documentation, and ISO preparation. Typing may involve memos, directives, or other interdepartmental information. The employee must perform all duties with minimal supervision. The employee may be required to work irregular hours, attend other job-related meetings, and perform other duties as assigned. Job Requirements: Education- High school diploma or GED minimum. Experience- Minimum two (2) year’s work experience as an administrative assistant, business background or professional training preferred. Background- Must successfully pass criminal and employment background investigations. Eligibility to work in the U.S. verified thru E-Verify. Pre-Employment Testing- All job offers are contingent upon successfully passing a pre-employment drug screen. License- Must have, or ability to obtain, a current valid NM driver’s license and be insurable by the County Insurance Authority. MUST PROVIDE A CURRENT DRIVING RECORD. Software- Knowledge of personal computers, word processor, database, and spreadsheet applications (Microsoft office applications preferred) and Tyler Munis program. Facilities- Knowledge of office equipment and of accounting practices and methods. Must be able to apply clerical and administrative knowledge and skills to a wide variety of activities within the Facilities Office. Must be able to apply math-skills and know and be able to apply extensive record-keeping systems. Must be able to read and copy numbers with great accuracy. Use reason and judgment in performing essential duties. Typing- The ability to type 60 words per minute. (Must Provide a current typing test) Communication- Must be able to communicate in English, both orally and in writing. Must be able to listen to and follow verbal directions in English. Must be able to write reports with proper format, and verify accuracy of information in reports. Confidentiality- Must be able to recognize, work with, and maintain confidential information. Performance- The ability to perform essential duties in the work conditions, with the equipment, tools, materials, and work aids listed below.
