Civil Service Class Menands School Title: Secretary to the Principal/CSE
Job Breakdown: Secretary to the Principal (5.5 hours per day) and CSE Secretary (2 hours per day)
Specifications: 12 month position, 7: 30 am - 3: 30 pm inclusive of a 30 minutes paid lunch, eligible for benefits/insurance buy-out, starting minimum salary $48,000, paid vacation, sick and personal days
Responsibilities: Teacher Attendance: subsystem management, management building sub calendar, leave slip input, communicate assignments to subs
Principal Clerical
- Oganize and schedule teacher evaluations
- Prep test packet/coordination of distribution/collection and return of materials
- Copy and distribute flyers, letters, student envelopes, summer mailings
- Print and distribute/mail progress reports, report cards and NWEA reports
- Enter and update student information in student management system
- Confirm and receive end of the year checklists and items from checklist
- Manage the calendar of the principal, including scheduling of meetings
Compile and update club lists Parent Square and subscription management Review student agenda information with admin, order agendas distribute agendas Administrative maintenance requests Other duties as assigned CSE Secretary
- Schedule and coordinate CSE, CPSE, and Section 504 meetings and maintain calendars and schedules for the PPS Coordinator
- Prepare, distribute, and track meeting notices, correspondence, and required documentation using district templates and guidance
- Track and monitor special education timelines (evaluations, annual reviews, reevaluations, and amendments) under administrative direction
- Maintain accurate, organized, and confidential student records, including IEPs and related documentation, in accordance with FERPA
- Enter, update, and maintain student information in special education management systems (e.g., Frontline)
- Serve as a point of contact for families, staff, and outside agencies regarding scheduling, paperwork, and procedural questions
- Assist with the preparation and organization of records for audits, state monitoring, and due process proceedings
- Prepare reports, correspondence, spreadsheets, and other clerical materials as requested
